When you register to use the Zerofootprint Calculator, we collect this information in order to set up a unique account for you, identify your department for statistical purposes, and to operate the website in an efficient and effective manner.

When you choose to use the Zerofootprint Calculator to calculate your carbon footprint, we collect certain “lifestyle” information from you in order to calculate your carbon footprint, including information on your consumption and use of transportation, food, energy and other products and services. This information will be used solely for the purpose of calculating your carbon footprint and will be maintained in anonymous, aggregated form that is not identifiable with you.

Once you register, the Privacy Settings in the ‘Edit Profile’ page allow you to control whether others may view your personal information such as your name, address, nick-name and Postal Code.

2. What is Personal Information?
“Personal Information” is any information that is identifiable with you, or any information which may be used to identify you as an individual. This information may include but is not limited to your registration information and your footprint information, as described below.

3. How do we collect your Personal Information?
We will always collect your Personal Information by fair and lawful means (for example, when you provide information on the Website). Most often we will collect your Personal Information directly from you, where we have obtained your consent to do so.
If you register on the Website, we may collect your usernarne, password and postal code in order to set-up a unique account for you, identify your neighbourhood for statistical purposes, and to operate the Website in an, efficient and effective manner.
If you choose to use tools available on the Website for calculation of your carbon/ecological footprint, we may collect certain “life-style” information from you in order to calculate your carbon/ecological footprint, including detailed information on your consumption and use of transportation, food, energy and other products and services. This information will solely be used for the purpose of calculating your carbon/ecological footprint and will be maintained in anonymous, aggregated form that is not identifiable with you.
Occasionally we may collect Personal Information from a third party, based on your consent or as otherwise permitted by the applicable privacy laws of Canada and Ontario, and the regulations thereunder including, but not limited to the Personal Information Protection and Electronic Documents Act and the Municipal Freedom of Information and Protection of Privacy Act.

4. Where do we store your Personal Information?
We engage the services of third party service providers to store, maintain and process the Personal Information that we collect. Our service provider is located in Canada.

5. How do we use your Personal Information?
We identify the purposes for which we use your Personal Information at the time we collect such information from you and obtain your consent, in any case, prior to such use. We generally use your Personal Information for the following purposes (the “Purposes”): (i) to set-up and maintain your account; (ii) to calculate your carbon/ecological footprint; (iii) to provide information relating to your carbon/ecological footprint to you, including methods of reducing your carbon/ecological footprint; (iv) to enable you to share and compare your carbon/ecological footprint with that of others; (v) to compile non-personalized, aggregated statistical data; (vi) to gather your opinion and feedback; (vii) to include you on our contact list; and (viii) to assist you with technical support. We may also use your Personal Information as otherwise permitted or required by the applicable privacy laws of Canada and Ontario, and the regulations thereunder including, but not limited to the Personal Information Protection and Electronic Documents Act and the Municipal Freedom of Information and Protection of Privacy Act. Should we wish to use your Personal Information for a new purpose, we will obtain your consent to such use.

6. What about “cookies” or IP addresses?
Like most websites, we may collect and log information automatically through the use of electronic tools. This information could include your IP address (a unique number assigned to every computer that connects to the Internet), your domain name (e.g. .ca, .com, .net, .org), your Internet Service Provider, the type and version of your browser, the length of time you stay on the Website, your click-stream data, the website that referred you to the Website and the average number of pages of the Website that you viewed. This information is collected and used only in the aggregate and not in a way that is identifiable with you.
Generally, this information is used to administer the Website and to determine how to make future visits to our site more convenient, engaging and productive. Your IP address is used to gather broad, aggregated demographic information. The Website uses cookies, and only cookies, to deliver content specific to your interests, to estimate our audience size, and to determine the browser the visitor uses so the site can be designed to work properly with the most common versions of different browsers.

We identify to whom, and for what purposes, we disclose your Personal Information, at the time we collect such information from you and when we obtain your consent to such disclosure. We do not disclose your Personal Information to anyone except: a. To third party service providers with whom we have a contractual agreement, which includes appropriate privacy standards, for the purpose of performing functions such as data processing, database services or information technology support;
b. To persons for which you provide your consent; or

c. As otherwise permitted (or required) by the applicable privacy laws of Canada and Ontario, and the regulations thereunder including, but not limited to the Personal Information Protection and Electronic Documents Act and the Municipal Freedom of Information and Protection of Privacy Act.
Your carbon/ecological footprint will be accessible to other users of the Website who you have designated as “buddies” for the purpose of comparing carbon/ecological footprints. However, your buddies will not have access to any other Personal Information, including Personal Information you provide to calculate your carbon/ecological footprint.
We may disclose statistical information compiled using your Personal Information to third parties who have expressed an interest in such statistical information. In the event such information is disclosed to third parties, it will be in the aggregate and not in a way that is identifiable with you.
In addition, we may send Personal Information to the United Kingdom for the purposes set out above, including for process and storage by service providers in connection with such purposes, and you should note that while such information is out of the country, it is subject to the laws of the country in which it is held, and may be subject to disclosure pursuant to the laws of the United Kingdom.

8. When and how do we obtain your consent?
We obtain your consent prior to collecting, and in any case, prior to using or disclosing your Personal Information for any purpose. You may provide your consent to us either orally, electronically or in writing.

9. How do we ensure the privacy of your Personal Information when dealing with our affiliates other third parties?
We ensure that all affiliates and other third parties that are retained to perform services on our behalf and are provided with Personal Information are contractually required to observe the intent of this Privacy Statement and our privacy policy and practices.

10. How long will we utilize, disclose or retain your Personal Information?
We may keep a record of your Personal Information, correspondence or comments in a file specific to you. We will utilize, disclose or retain your Personal Information for as long as necessary to fulfill the purposes for which that Personal Information was collected and as permitted or required by the applicable privacy laws of Canada and Ontario, and the regulations thereunder including, but not limited to the Personal Information Protection and Electronic Documents Act and the Municipal Freedom of Information and Protection of Privacy Act. In any event, the Personal Information shall be retained for the greater of the period as mandated by S. 8,8 of Personal Information Protection and Electronic Documents Act or as mandated by S.5 of. R.R.O. 1990, Reg.

If you make a written request to review any Personal Information about you that we have collected, utilized or disclosed, we will provide you with any such Personal Information to the extent required by a municipal institution, the applicable privacy laws of Canada and Ontario, and the regulations thereunder including, but not limited to the Personal Information Protection and Electronic Documents Act and the Municipal Freedom of Information and Protection of Privacy Act. We will make such Personal Information available to you in a form that is generally understandable, and will explain any abbreviations or codes.

12. How do you know that the Personal Information we have on you is accurate?
We will ensure that your Personal Information is kept as accurate, complete and up-to-date as possible. We will not routinely update your Personal Information, unless such a process is necessary. We expect you, from time to time, to supply us with written updates to your Personal Information, when required.

13. What if the Personal Information we have on you is inaccurate?
At any time, you can challenge the accuracy or completeness of your Personal Information in our records. If you successfully demonstrate that your Personal Information in our records is inaccurate or incomplete, we will amend the Personal Information as required. Where appropriate, we will transmit the amended information to third parties having access to your Personal Information.

14. How fast will we respond to your written requests?
We will attempt to respond to each of your written requests not later than thirty (30) days after receipt of such requests. We will advise you in writing if we cannot meet your requests within this time limit. You have the right to make a complaint to the federal Privacy Commissioner in respect of this time limit.

15. Are there any costs to you for requesting information about your Personal Information or our privacy policy or practices?
We will not charge any costs for you to access your Personal Information in our records or to access our privacy policy or practices without first providing you with an estimate of the approximate and reasonable costs, if any. You may withdraw your requests for access to information by notifying us within the thirty (30) day notice period disclosed on the estimate. If you do not notify us within such thirty (30) day period, we will send you a further notice indicating that you will be deemed to have withdrawn your request for access unless you advise us otherwise within thirty (30) days. If, after the expiry of this second thirty (30) day period, you have not so advised us, we will deem your request to have been withdrawn and provide you with written notice to that effect.

If you wish to have your Personal Information removed from Zerofootprint’s database, such information will be removed from all records, including back-up copies, in the control of our third party service providers and Zerofootprint and permanently destroyed within 24 hours of your request for removal.

Zerofootprint welcomes your comments regarding our privacy policy and practices.
